Club Policies

Plain language.

The rules in plain English. Full legal terms linked below — these are what actually come up.The rules, in plain English.

01

Age

Online enrollment is restricted to members eighteen and older. Members ages 14–17 must sign up in club with a parent or guardian present and proof of birthdate. Members under 14 are not enrolled.

02

Guests

Members can bring a guest using their monthly guest passes (Signature: 2, Premium: 4, All-Access: 8). Guests sign a liability waiver at the front desk, same-day. No more than two guests at a time.

03

Cancellation

Annual commitment at signup, month-to-month thereafter. To pause or cancel after the first year, send a written notice to your home club 30 days in advance. No cancellation fees, no retention calls.

04

Freeze

Members can freeze their membership for up to 90 days per calendar year (medical, travel, sabbatical). Freeze for more than 90 days requires a conversation with membership — we'll find the right arrangement.

05

Photography + Filming

Phones stay in lockers on the training floor. Personal progress photos in the locker room mirror are fine — the common areas are not. No filming of other members. Press and professional shoots are scheduled through the club.

06

Attire

Athletic shoes on the floor, no exceptions. Pilates reformers are barefoot or grip-sock. No street shoes past the reception. No shirtless training at Pelham, Yorktown, or Somers — Thornwood conditioning floor is at member discretion.

07

Children + Families

Members' children are welcome in the Pelham lounge. The training floor is 16+ — teens 14–15 train 1:1 with a coach, by arrangement. No children under 12 in the locker rooms during peak hours.

08

Phones on the Floor

If you need your phone for programming or music, use it between sets — quietly, no speakerphone, no calls. Voice notes in the lounge, not on the floor. Disputes about this are the most common reason we have this rule at all.

09

Equipment + Gym Etiquette

Re-rack weights. Wipe down benches. Don't park at a rack you're not using. Platforms are for barbell work only. Coaches will always help if you're not sure — no one will make you feel foolish for asking.

10

Conduct

Level is built on quiet, mutual respect. Harassment of any kind — members, coaches, staff, guests — results in immediate termination of membership. We don't issue warnings for this one.

11

Privacy

What we collect. When you submit a tour request, contact form, or membership application, we collect the name, email, phone, and home club you provide. When you become a member, we additionally hold billing information (held by Stripe — we never see your card number), check-in records, and class booking history.

Who we share it with. Your data stays at your club. We don't sell or rent member lists. We use a small number of third-party services to operate the site and respond to inquiries:

  • ABC Fitness — our member-management system. Holds membership, billing, and booking records.
  • Twilio — sends a one-time SMS to the club manager when you submit a Free Pass request, so a coach can reach you within an hour.
  • Resend — sends transactional emails (confirmations, password resets). Stores delivery logs only.
  • Stripe — processes payments. Card data goes directly to Stripe; never touches our servers.
  • Google Analytics, Meta (Pixel + Conversions API), TikTok, Microsoft, LinkedIn — advertising measurement. Only loaded after you click Accept on the cookie banner. The server-side Conversions API mirrors browser events (with email and phone hashed) to recover attribution lost to ad blockers and tracking-prevention browsers.

Advertising click identifiers. When you arrive from a paid ad, we capture small attribution tokens (gclid, fbclid, msclkid, ttclid) into your browser's session storage. These tokens are forwarded to the relevant advertising platform when you submit a form, so the right campaign gets credit. They do not identify you to us.

Retention. Lead inquiries that don't result in membership are kept for [TODO: insert retention period — typical: 12 months] and then deleted. Member records are kept for the duration of your membership plus the period required by law for tax and recordkeeping.

Your rights. You can request a copy of your data, ask us to correct it, or request deletion at any time. California and Colorado residents have specific opt-out rights under state law. Email [TODO: insert privacy contact email — suggest privacy@levelfitnessclubs.com] with the request and we will respond within 30 days.

Cookies. Strictly necessary cookies (session, security) are always on. Analytics and advertising cookies only load after you click Accept on the consent banner. Click Decline (or close the banner) and nothing else loads.
